Terms & Conditions Information for Your Lanka eco trails Experience

  1. The phrase “Lanka Eco Trails” in these Booking Terms and Conditions refers to Lanka Eco Trails (PVT) LTD.
  2. Lanka Eco Trails is a Sri Lankan travel company registered with the Sri Lanka Tourism Development Authority (SLTDA), the official body for Sri Lanka tourism. The planning, execution, and organization of tours are carried out by Lanka Eco Trails on behalf of guests and other travel partners.

1. Complaints Procedure and Customer Care

  1. Lanka Eco Trails is fully committed to high levels of customer care at all stages of your holiday. This includes solving problems at the source to the benefit of all parties.
  2. Any complaints should first be raised with the service provider (e.g., hotel manager), our ground representatives, or agents.
  3. If not satisfactorily resolved, you MUST notify Lanka Eco Trails within 24 hours by e-mail.
  4. We provide contact numbers before travel; it is your responsibility to keep them safe.
  5. Failure to follow this procedure may limit our liability or compensation.

2. Check List for Essentials

  1. Verify flight times on receipt of tickets. Minor changes by airlines are not our responsibility.
  2. Ensure your travel documents, passports, visas, driving license, insurance, and currency are in order.

3. Special Requests

  1. Advise us of any special requests at the time of booking (dietary, room type, hotel facilities).
  2. Confirm requests via e-mail.
  3. Every effort will be made to accommodate reasonable requests, but fulfillment cannot be guaranteed.

4. Insurance

  1. Every traveler must have valid travel insurance. Policy details must be provided before travel.
  2. Ensure coverage is appropriate for your holiday type.

5. Required Medical Information

  1. You are responsible for assessing whether a tour is suitable.
  2. Consult your physician regarding fitness, vaccinations, and medical precautions.
  3. Lanka Eco Trails does not provide medical advice.

6. Age & Fitness

  1. Certain travelers may need to complete a Tour Suitability Form:
  2. Persons with pre-existing medical conditions requiring regular care
  3. Travelers 70 years or older at the tour start date
  4. Pregnant travelers (must disclose; travel may be restricted beyond 24 weeks)
  5. Failure to disclose may affect your participation.

7. Personal Loss, Injury, and Illness

  1. In case of loss, illness, injury, or death, advice and guidance will be provided in line with your personal travel insurance.

8. Confirmation of Booking

  1. A booking is confirmed once Lanka Eco Trails issues written confirmation after receipt of deposit.
  2. Check confirmations carefully; names must match passports.
  3. For tailor-made holidays: 50% upfront deposit confirms the booking; full payment is due 7 days prior to arrival.

9. Notes on Payments

  1. Initial payment is required at booking.
  2. Client pays all bank transfer charges.
  3. No hidden charges; exchange rates are based on the Central Bank of Sri Lanka at booking.

10. Cancellations

  1. By Lanka Eco Trails: We may cancel in cases of Force Majeure. Paid money will be refunded, and alternative booking offered where possible.
  2. By Client: Cancellation fees are based on date of notice:
  3. 60+ days: 100% refund
  4. 30–59 days: 95% refund
  5. Less than 30 days: 90% refund
  6. 21 days or less: non-refundable
  7. Refunds for early checkouts or no-shows are not normally provided.
  8. Group cancellations: each member liable for fees.
  9. Pandemic-related cancellations within 21 days: 100% refund.

11. Guarantee of Price

  1. No surcharges except where government policy changes affect costs.
  2. No surcharges for exchange rate fluctuations.

12. Shopping

  1. Lanka Eco Trails does not guarantee value or quality of additional products purchased during tours.
  2. Clients are fully responsible for any purchases made.

13. Force Majeure

  1. Lanka Eco Trails is not liable for death, injury, illness, damage, delay, or other losses caused by events beyond reasonable control, including: Natural disasters, war, terrorism, civil commotion, mechanical breakdowns, extreme weather, government restrictions or other unforeseen events. All such events collectively constitute “Force Majeure”.
